Client feedback email templates: how to ask for, consolidate and close a feedback round
Most approval chaos is email chaos. These four copy-paste templates structure the feedback loop so every round has one list, one approver and one recorded outcome. Use them with the workflow in our client approval workflow guide.
Template 1 — requesting feedback (before round one)
Subject: [Project] — round 1 ready for review Hi [name], Round 1 is ready: [link to version]. To keep us on schedule, please send consolidated feedback by [date]. A few things that help: - One list, from one person ([approver]). Comments from others are welcome — please merge them into that list before sending. - Reference what you're reacting to (page, screen, line). - Please judge direction at this stage, not polish. Two revision rounds are included in this project, per the brief.
Template 2 — confirming the round (after notes arrive)
Subject: [Project] — round 2 confirmed, [date] Thanks [name] — that's [n] notes, all logged. Here's how we've read them: 1. [note] — doing (round 2) 2. [note] — doing, with one question: [question] 3. [note] — keeping as-is, because [reason tied to the brief] Round 2 lands on [date]. If anything above reads differently to you, tell me before [date] so it makes round 2.
Why it works: it closes the loop on every note — done, doing, or declined-with-reason — so nothing silently resurfaces in round three.
Template 3 — declining a note with a reason
Subject: Re: [Project] — note [n] Totally hear this one. We're keeping it as-is for now because [reason — tie to the brief's objective or audience]. That said, it's logged, not lost: if the [metric] doesn't move by [date], it's the first thing I'd revisit.
Template 4 — closing out final approval
Subject: [Project] — approved and closed Confirming: [version] was approved by [approver] today, [date], and is the final version for handover. Deliverables attached: [list + formats]. Next milestone per the plan: [date].
Why it works: "approved by whom, on what date, which version" is the record you'll be grateful for at handover — or in a dispute. This is the exact record CreativeBoard captures automatically: each version carries its own sign-off event, so the email trail becomes confirmation rather than evidence. Early access is free:
